Principles of Effective Communication

General Communication

 
It’s a two way process of trying to reach mutual understanding not only meaning by people exchange information , different ideas, feelings and news but also is to create and share the meaning in communication. Communication means is to connect people or places together.

For the business general communication is a key of function of management an organisation which cannot operate without communication between levels, departments and employees.

Rainbow Light Charity needs to able to communicate with different people and their staff so they have to use general communication. Here are two examples of two different general communications which I have chosen

Rainbow Light Charity can use general communication to communicate with their clients by adapting to their culture as some clients can be from different culture
 


Engaging an audience


 While doing presentations the presenter has to try to encourage his/her audience to listen and watch the presentation.



 The key is encourage people to listen and watch your presentation is to make sure that your presentation is not too boring, not too much or too little information, asking questions after the presentation, adding videos and sounds into the presentations and trying to talk with your audience and using body language  too such as eye contact , body movements etc.

The other way of communicate with more than one audience is using your body movements, body language, eye contacts, asking questions and answering audiences answers
If the presentation is boring, the audiences may not even pay attention to the presentation as they might find it boring to listen and to watch it.
 
Rainbow Light Charity would have to engage with their audience and staff when they are doing presentations for e.g. introducing their new staff to their new job etc.






Culture difference

Different types of cultures have many differences such as differences like languages, words, body language, greetings etc. Most people have to be able to adapt to different cultures because some things which we say or do might be look right for us but not for someone who is from different culture.

Rainbow Light Charity needs to be able to adapt to cultural differences carefully as their might be some staff and clients who might be from different cultures.



 Most businesses have to adapt to different cultures while they are travelling around the world and seeing people from differences.
It’s important to be able to adapt to different cultures as some actions or words can look offensive for other people from different cultures.

 In order for the Rainbow Light Charity to adapt to different cultures they need to do re-search about cultural differences, they can read other people experience with cultural differences online.

 Also they will need to learn what words to use and what words to not use in different cultures, and body language they might need to learn how to for e.g. greet someone from different culture etc.




Interpersonal Skills

 
Positive language


It’s important for Rainbow Charity to have a positive language towards their staff and around other people who involves with their charity. Using positive language can encourage other people to welcome into this charity and it also can help encourage other people who have low self esteem to feel better about their self’s. Having a positive language can create a good image in Rainbow Charity.

In order to have a positive language a Rainbow charity needs to have a positive mind and positive attitude too. Nobody likes people who speaks rudely and don’t have good attitude towards other people, this can quickly affect Rainbow Lights Charities reputation so that’s why it’s important to have good attitude and positive language.

 

Negative language

If Rainbow Light Charity would use negative language towards other people in their charity it would quickly affect their reputation which can lead to several problems. Using negative language can lead other people feel about themselves bad etc.

 
It’s important to avoid of using negative language for Rainbow light charity in order to maintain good image of their charity and communicate well with the people who is involved in their charity. Avoiding negative language applies to both staff workers and their patients.

Written Communication

 
Written communication is any form of interactive communication that uses written language to convey messages. The examples of some of the forms of writing communication are included: manuals, letters, job description, email and many more. Written communication is one of the main forms of communication while other communications most often is being spoken or are oral communication

 
Rainbow Light Charity will need to use written communication for e.g. sending an email to their staff or writing a letter and sending to their staff home. Also Rainbow light charity might need to use written communication when they want to employ needs people such as writing/typing a job description.

Also Rainbow Light Charity might need to use written communication such as writing on paper or email with their patients who has difficult of hearing words or loss of hearing but still can understand/read the words.




Key messages
This is the form of written communication which Rainbow light charity might need to use for sending out the letters or writing an email to their staff and patients. Writing a letter  and typing a email its important to make sure that the text is readable and neat also Rainbow Light Charity will have to make sure that there are no spelling/grammar mistakes in order to write a proper letter and email.
Also when typing an email Rainbow Light Charity might be able to use the format and layout which is being provided also they might have to include Rainbow Light Charities title on the Email or Letter.
 
Also Rainbow Light Charity they will have to use correct language when sending email or letter such as non abusive language, not racism etc. To encourage their staff not to use bad languages while typing an email or letter Rainbow Light Charity might have to set up rules in order to use writing communication correctly.
 
Grammar and Spell checking
It’s important to spell and grammar check when typing out something in word document , letter or email to make sure it doesn’t contain any spelling mistakes and grammar mistakes.
Having correct Grammar and Spelling in your writing/typing can show your intelligence and also it can be easier for some readers to understand your typing words when you use correct spelling and grammar.
The Rainbow Light Charity can always use spell and grammar checks before sending the emails/letters etc. There is plenty of software available for spell and grammar check and they can also spell and grammar checks online for free.
